Receptionist/Administrative Assistant—Mental Health Department

We’re looking for a special individual to serve as the receptionist/administrative assistant for our mental health department at our agency in southeast Denver. Jewish Family Service (JFS) serves diverse populations and cultures and this position interacts with all of them.

We help seniors age in place, provide quality mental health counseling to individuals and families, offer training and job placement to people with developmental disabilities, and provide food and financial assistance to people in crisis. Qualifications:

  • High School Diploma or GED.
  • Minimum three years’ general office experience, including reception, scheduling/coordinating meetings and appointments, taking meeting minutes, correspondence, reports. 
  • Strong knowledge of Microsoft Office and computer software, including billing systems and health records. Able to access, track, and input information into various databases. 
  • Internet experience for information gathering and website updating. 
  • Knowledge of administrative Medicaid billing compliance, helpful.
  • Strong communication skills with a sensitive and pleasant demeanor. Must maintain strict client confidentiality.
  • Organizational skills, flexibility, ability to meet deadlines. 
  • Must work effectively in collaborative team environment.
  • Excellent customer service skills with diverse populations and cultures. Comfortable interacting with and assisting clients with limited English proficiency.
Responsibilities:
  • Receive and welcome clients and guests.
  • Respond appropriately to diverse range of clients seeking support and information on the phone and in person.
  • Collect client payments and enter payment information into database. Reconcile each day and create spreadsheet for payments. Submit cash/checks to appropriate staff.
  • Create reports, letters, spreadsheets, forms, etc as necessary.
  • Open and close client accounts in database and prepare charts for therapists.
  • Work closely with therapy staff to assist them and department with their needs.
  • Work with accounting staff regarding client and insurance balances and changes in benefits.
  • Organize and maintain files, forms, documents.
  • Assist with updates and revising Mental Health Policies and Procedures.
  • Attend meetings as required. May take minutes and produce meeting materials, notices, etc.
  • Provide back-up to Refugee Mental Health and KidSuccess departments.
